Acknowledge the request
Requests can enter 24/7. We capture the received time, signing address, document category, deadline, signer needs, preferred method, and written instructions that affect execution or return.
Assignment lifecycle
NotarySpan coordinates nationwide document-signing appointments through a defined, state-aware workflow. The process keeps requirements and performance milestones visible while preserving the notary's independent duties and the client's authority over the documents.
NotarySpan has access to a large nationwide sourcing network for mobile coordination across all 50 states. RON and hybrid coordination remain conditional on notary authorization, transaction eligibility, and receiving-party acceptance.
The six-stage workflow
Requests can enter 24/7. We capture the received time, signing address, document category, deadline, signer needs, preferred method, and written instructions that affect execution or return.
The location, requested notarial act, document eligibility, receiving-party acceptance, and technology requirements determine whether mobile or remote coordination can proceed.
Using access to a large nationwide sourcing network, we confirm commission status, geography, relevant credentials or experience, availability, and the assignment's specific requirements before placement.
The signer and assigned professional receive the operational details they need, while document interpretation and legal questions remain with the authorized client or counsel.
Scheduling changes, identity concerns, document questions, missed instructions, and eligibility issues are surfaced to the right party rather than resolved by guesswork.
The appointment outcome, required scanback, shipping, delivery, remote-session evidence, and any issue-resolution milestone are checked against the original brief and recorded.
NotarySpan does not prepare documents, choose a notarial certificate, explain legal effect, advise a signer whether to proceed, or guarantee that a receiving organization will accept a document. Those decisions remain with the signer, attorney, lender, title or escrow team, document custodian, and commissioned notary as applicable.
NotarySpan does not provide attorney services. When an attorney or another licensed professional is required, the requesting party supplies that participant and the assignment is coordinated around the requirement.
This separation is a control, not a limitation: it keeps questions with the party authorized and qualified to answer them.
Review the network standardEach assignment uses a consistent set of identifiers, contacts, requirements, statuses, timestamps, outcomes, and exception categories. That makes the workflow easier to connect to a secure client portal, API, webhook, or other approved handoff later.
NotarySpan names a software integration only after the connection has been configured and tested. The direct request and tracking workflow remains available without a custom connection.
Acknowledgement, coverage-confirmation time, signer-contact confirmation, appointment outcomes, required scanback or closeout, and issue resolution are separate events—not one vague success score.
