Service pathways

One coordination desk. Three supported signing paths.

NotarySpan accepts requests 24/7 and coordinates mobile appointments across all 50 states, plus eligible remote online and hybrid workflows. We use our access to a large nationwide sourcing network and confirm the commission, credentials, experience, and availability required for each assignment.

24/7 intake. Assignment-specific placement.

Requests can enter the coordination process at any hour. Every location, timing, professional, service method, and receiving-party requirement is still confirmed before scheduling.

One intake, five controls.

  • Exact signing location and requested appointment window
  • Document category, signer count, and identification considerations
  • Written instructions for execution, scanbacks, shipping, or delivery
  • State, recipient, platform, and transaction-specific requirements
  • Required status milestones, client contacts, and exception route

Mobile notary coordination

NotarySpan coordinates in-person appointments at homes, offices, care facilities, businesses, and other agreed locations. Mobile requests are supported in all 50 states through access to a large nationwide sourcing network, with the specific address, time, commission, assignment fit, credentials, and professional availability confirmed for each placement.

What the assignment can include

General acknowledgments, signature witnessing, oaths, verifications, and other notarial acts permitted by the assigned notary's commission. The requesting party supplies the documents and identifies the required notarial act or certificate.

A nationwide network expands reach; it does not replace the jurisdiction and availability check required for a particular appointment.

Real estate & loan signings

We coordinate signing appointments for client-prepared purchase, seller, refinance, HELOC, reverse-mortgage, and related document packages. Written instructions remain attached to the assignment so execution, scanback, and return requirements are clear.

Roles stay distinct

The assigned notary performs only the notarial and ministerial signing functions allowed by applicable law. NotarySpan and the notary do not interpret loan terms, determine whether transaction conditions are satisfied, or give legal advice. NotarySpan does not provide attorney services. If a transaction requires an attorney or another licensed professional, the requesting party must identify and provide that participant before the assignment can be confirmed.

Eligible RON & hybrid coordination

Remote online notarization, or RON, uses approved audio-video technology and identity-proofing methods to support a remote appearance before an authorized notary. It can be a useful option, but it is not available for every document or transaction.

A hybrid workflow combines digital document steps with an in-person notarization or wet-signature appointment. It can reduce paper handling while preserving the physical steps required by the documents, recipient, or jurisdiction.

Eligibility before scheduling

We confirm the notary's authorization, the document and transaction requirements, the selected platform, signer-location considerations, and receiving-party acceptance before coordinating a session. Loan-closing RON is never assumed or guaranteed; the full transaction must support it. If the conditions are not met, a mobile or hybrid appointment may be the appropriate path.

Integration-ready without invented integrations.

The workflow uses consistent request fields, assignment statuses, timestamps, completion events, and exception categories. That structure is designed to support secure portal, API, webhook, or other system handoffs as client requirements mature.

A named software connection will appear here only after it has been configured, tested, and placed into service. Clients can begin with the direct request and tracking workflow without waiting for a custom integration.
