How we handle information.

This policy explains what Central PA Notary LLC collects through the NotarySpan website, why we use it, when we share it, and the choices available to you.

The business responsible for this website and its information practices is Central PA Notary LLC, Altoona, Pennsylvania.

Who is responsible

Central PA Notary LLC publishes this informational site while developing NotarySpan as a proposed service brand. The related Pennsylvania fictitious-name registration has not yet been completed. References in this policy to “NotarySpan,” “we,” “us,” or “our” therefore mean Central PA Notary LLC.

This policy applies to this website, records from any prior or future service-request intake, the private assignment tracker, communications with prospective notaries, and related records we maintain. Public commercial intake is currently paused. A client agreement or a secure document-transfer process may carry additional terms for information provided later in an engagement.

Information we collect

Business contact and service-request information

Public online service-request intake is currently closed. If it is reopened, the form may collect the company or organization name, contact name, business email, callback number, requested service method, signing city and state, requested date, local time and time zone, document category, expected signer count, urgency, and any non-sensitive instructions you choose to add. It may also create a request reference and record review, contact, and status activity associated with the request.

Assignment and tracking information

For work separately accepted in writing, we may maintain the client's written requirements, scheduled timing, broad location, assigned professional, operational milestones, sanitized status updates, and completion or exception records. The public tracker uses a private code and a short-lived, essential session cookie. It is designed to display limited status information rather than signer identity, documents, or an exact signing address.

Prospective-notary information

A notary who expresses interest may provide a legal or business name, contact details, commissioning state and expiration, service area, mobile or remote capabilities, experience, availability, and general credential or insurance information. We ask prospective notaries not to send identification, banking details, tax records, unredacted background reports, or other sensitive records in an initial email.

Operations and technical information

Authorized operations users may be identified by account and email information supplied through the site's sign-in system. Our hosting and security services may also process IP address, browser or device information, timestamps, request headers, security events, and similar logs needed to deliver and protect the website. Cloudflare Turnstile processes a challenge response and related technical signals to help distinguish legitimate submissions from automated abuse.

How we use information

We use information described above to:

  • respond to general business questions and, if intake later reopens, review inquiries;
  • identify and coordinate an assignment-specific professional for separately accepted work;
  • communicate scheduling, instructions, exceptions, and status for accepted work;
  • review prospective-notary capabilities for future assignments;
  • operate the private tracker and authorized operations tools;
  • protect the website, prevent abuse, and investigate problems;
  • maintain business, accounting, dispute, and compliance records; and
  • comply with applicable law and enforce our agreements.

A general contact or initial inquiry is not permission to receive signer identification, financial account numbers, Social Security numbers, document contents, or a complete document package. Those materials should be sent only after we provide or approve an appropriate secure transfer method for an accepted engagement.

When we share information

We share information only as reasonably needed for the purposes described in this policy. Recipients may include:

  • the requesting client, assigned notary, signer contact, or client-designated receiving party, to the extent needed to evaluate or carry out a separately accepted assignment;
  • authorized Central PA Notary LLC operations users who need the information to review, coordinate, support, or document work;
  • service providers supporting the website and operations, including OpenAI Sites and Cloudflare infrastructure, Cloudflare Turnstile, Resend for operational email alerts, and business email or communications providers;
  • advisers, auditors, insurers, or counterparties when reasonably necessary for the business relationship or a dispute; and
  • courts, regulators, law enforcement, or other parties when we reasonably believe disclosure is required by law or necessary to protect rights, safety, security, or the integrity of the service.

We do not sell personal information. That statement does not mean information is never shared: the operational disclosures above are necessary to review requests, coordinate assignments, operate the site, or meet legal obligations.

Retention and security

Retention

We retain information for as long as reasonably needed to review requests, coordinate accepted work, maintain business and compliance records, resolve disputes, protect the service, and follow applicable law or client instructions. Inactive intake contact data is placed on a deletion or scrubbing schedule, but that operational schedule is not a promise of automatic deletion on a particular day. Active engagements, required records, security logs, and backup copies may remain longer according to their purpose and the systems that maintain them.

Security

We use administrative and technical safeguards intended to limit unauthorized access and misuse, including restricted operations access, anti-abuse checks, private tracking codes, limited public status displays, and instructions to keep sensitive data out of initial intake. No internet transmission, email, or storage system is completely secure, and we cannot promise absolute security. Contact us promptly if you believe information sent through the service has been accessed or used improperly.

Your choices and privacy rights

You may ask us to provide information about our handling of your personal information, or to access, correct, or delete information associated with you. Prospective notaries may also withdraw a future-assignment interest profile. We may need to verify your identity and may retain information when an active engagement, legal obligation, security need, or another lawful exception requires it.

Depending on where you live, applicable state law may provide additional rights such as portability, restriction of certain processing, an opt-out, or an appeal of a request decision. We do not sell personal information. To make a request, email maxroland@centralpanotary.com and describe the request and the email address or business relationship needed to locate the record. We will respond as required by the law that applies to the request.

Children, changes, and contact

Children

This business-to-business coordination service is not directed to children under 18, and we do not knowingly collect their personal information through the website. A parent or guardian who believes a child provided information may contact us for review.

Changes to this policy

We may revise this policy as the service, providers, or legal requirements change. The effective date at the top identifies the current version. Material changes will be presented on this page before or when they take effect, as appropriate.
