NotarySpan is building performance reporting around events clients can recognize: acknowledgement, professional confirmation, signer contact, appointment outcomes, required closeout, and issue resolution. This page defines the method before publishing a percentage.

Method status

Definitions effective August 16, 2026. Initial observed results will be added only after a completed reporting window can be tied back to reproducible assignment records.

What this protects against.

A network size, fast-turnaround slogan, or completion percentage says little without a defined starting event, outcome, denominator, reporting window, and list of exclusions. The NotarySpan method keeps those elements visible.

Requests are accepted 24/7. That intake availability does not guarantee an immediate human response and is separate from the time required to confirm a particular professional, appointment, service method, or transaction.

No placeholder percentages. No network count standing in for performance. No historical result presented as a service guarantee.

Core measures

Six events in the assignment lifecycle.

Each measure has its own clock, eligible population, outcome, and reporting rule so that one strong result cannot conceal another weak handoff.

Request acknowledgement

Elapsed time from the first recorded arrival of a legitimate request through an accepted intake channel to a recorded acknowledgement returned to the requester.

Reporting rule: Duplicate, test, and spam submissions are excluded and counted separately. An acknowledgement confirms receipt; it is not a coverage confirmation.

Coverage-confirmation time

Elapsed time from receipt of the minimum complete assignment brief and authority to begin placement to either written professional confirmation or a documented unable-to-cover result.

Reporting rule: A client hold or missing essential information pauses the clock only when the pause and restart are recorded. Results should show the eligible count, median, 90th percentile, and unable-to-cover share.

Signer-contact confirmation

The share of eligible confirmed assignments with a documented successful signer contact before the scheduled appointment, when signer contact is required and permitted by the client.

Reporting rule: Successful contact, attempted contact, client-directed no contact, and unavailable contact information remain separate outcomes.

Appointment outcomes

Every appointment due in the reporting window receives a mutually exclusive outcome rather than disappearing from the denominator.

Reporting rule: Categories include completed as instructed, completed with a documented variance, rescheduled, client or signer cancellation, professional cancellation, no-show, unable to complete, and still open.

Scanback & closeout

For assignments that require scanbacks, shipping details, delivery evidence, or another closeout item, elapsed time is measured from the recorded appointment outcome to receipt of the required item.

Reporting rule: Assignments without that requirement are not placed in the denominator. A received item and a client-approved item remain distinct when approval is part of the brief.

Issue resolution

Elapsed time from the moment an assignment issue is recorded to a documented resolution, terminal outcome, or client-authorized recovery decision.

Reporting rule: Identity, document, scheduling, professional, signer, technology, and delivery issues are categorized separately so one source of delay does not mask another.

The minimum complete assignment brief.

  • Requester identity and an authorized exception contact
  • Exact signing location or the facts needed to evaluate a remote session
  • Requested date, appointment window, and material deadline
  • Document or transaction category and signer count
  • Requested mobile, remote, or hybrid method, if already determined
  • Required credentials, experience, platform, scanback, shipping, and return instructions

Rules for a publishable scorecard.

  • Every scorecard identifies the exact reporting-window start and end dates, publication date, timezone, and definitions effective date.
  • Every rate identifies its eligible denominator, excluded records, open assignments, and outcome categories.
  • Time measures show distribution-aware results such as the median and 90th percentile—not only an average.
  • Observed results are labeled as historical performance, never presented as a guarantee for the next assignment.
  • Corrections to published data retain an annotation describing what changed and when.
  • A metric is not published as a percentage until its source events and sample window can be reproduced from the assignment record.

Recovery is part of performance.

If a professional cancels or becomes unavailable, the change is recorded, the client is notified through the assignment's contact route, and replacement coverage is pursued when timing and requirements permit. A replacement is not marked confirmed until the professional accepts and the assignment-specific checks are complete.

If an execution or document-handling concern is reported, the issue returns to the authorized client or recipient for direction. NotarySpan can coordinate a lawful corrective appointment when requested, but does not alter documents, choose legal language, or provide attorney services.

Consistent assignment identifiers, contacts, requirements, timestamps, statuses, outcomes, and exception categories make the operating record integration-ready. Those fields can support secure portal, API, webhook, or other client-system handoffs as specific requirements are defined.

NotarySpan will name a software integration publicly only after that connection is configured, tested, and in service. Until then, clients can use the direct request and assignment-tracking path.
